ALUMNI ENGAGEMENT SUPPORT (ADMIN) OFFICER

Your mission
Ensure the seamless administrative execution of our programmes by taking ownership of the practical workflows that lead to high-quality service delivery.
- Event preparation and support: provide hands-on, practical support for the preparation of our Alumni activities and events.
- Participant and partner interface: be the primary point of contact for our alumni and participants. You are responsible for all communication regarding practicalities, including programme set-up, catering, venues, and invoicing.
- Process and data management: Manage diverse administrative tasks with a focus on data accuracy. This includes processing information within various digital tools, such as Salesforce and Microsoft Teams, ensuring all data is up to date.
- Internal alignment: Collaborate closely with different departments and alumni to ensure all communications and organisational flows are perfectly harmonised.
You
- Already have relevant experience in a professional administrative role.
- Possess excellent communication skills in both Dutch and English, both written and spoken, allowing you to interface effectively within an international environment.
- Are tech-savvy and highly proficient with Microsoft Office Familiarity with other online tools (such as Salesforce) is considered an advantage.
- Are a team player who is equally comfortable working autonomously. You take the initiative to improve existing administrative processes and flows.
- Are naturally discrete and value a well-organised, meticulous approach to your work. You place a high premium on quality and are willing to go the extra mile for both internal and external stakeholders.
- Are based on our Ghent campus, comfortably balancing this with your home office. You are also open to working from other locations on an occasional basis should the specific event require it.
